Scheduling Appointments


Office visits are by appointment only, but we always make time for emergencies. We make every effort to see your child at the scheduled appointment time, and we ask you to give us the same courtesy. Schools consider dental appointments to be excused absences. We will provide a doctor’s letter for your teacher upon request.


Cancellations

All patients are seen by appointment only and scheduled according to the type of treatment and needs of the individual patient. We do require a 48 hours notice for cancellation and reschedules. This allows us to notify patients on a waiting list of an appointment opening in a timely manner. If a 2nd missed appointment occurs without 48 hours notice, we reserve the right to charge a cancellation fee of $40 per patient.


Parent Participation

At Hello Kids Dental Group, we love our families and encourage parents/guardians to participate during our new patient and routine check-up appointments.

During New Patient/Routine Exams

For your comfort, one parent or guardian is welcome to accompany their child. For the safety and privacy of other patients, we ask that children and siblings that are not scheduled to remain in the reception area. Young children in the reception room will need to be supervised by an adult.


During Operative Appointments

Research has shown that children over the age of 3 respond better to dental treatment when their parents are not in sight. By allowing your child to be treated without your presence, you are placing trust in your chosen dental professional and teaching your child to do the same.


Although it is not recommended, parents are allowed to visit their child during an operative procedure. For the safety of your child, the staff and the doctor, we ask that you assume the role of a silent observer during treatment.


We ask that you refrain from cellular use while in the clinic. For the privacy of our staff and doctors, we do not allow videos or pictures to be taken while we are treating your child.


We will make every attempt to treat your child in a manner that is safe for both your child and the office staff. If we attempt to perform operative treatment on your child and he/she is unable to be treated due to uncooperative behavior that cannot be safely managed, we will need to stop treatment for that day. Additional options for behavior management will be discussed with the parent or guardian, and a new appointment will be scheduled.


Special Procedures

Should your child require IV Sedation for their dental appointment, we require a deposit prior to the appointment being scheduled. This deposit will apply to your balance. Once the appointment is scheduled if you choose to cancel or reschedule without a 5-day notice, the deposit is non-refundable.


Insurance & Payment

We work with multiple dental insurance companies. Every reasonable effort is made to collect covered amounts from your insurance provider. Deductibles, co-payments, and non-covered amounts are due at the time of service. All estimated quotes are based upon information provided to us by your insurance company and are estimates only and not a guarantee of payment. The patient is ultimately responsible for all charges incurred. Insurance companies are required by law to pay or deny a claim within 45 days. After 60 days, our office will resubmit any unpaid claims. After 90 days, we ask that you pay in full and have your insurance company reimburse you. The negotiation of benefits is between you, your employer and insurance company.


Payment is required at the time of service. We accept cash, checks, care credit, and all major credit cards. There will be a $35 fee for returned checks.


Accounts over 90 days past due will be referred out for collections and patients will be responsible for any fees associated with that.
